What is a point of sale system?

A short explanation before we dive into POS+.

A point of sale (POS) system is the software you use when a customer pays for goods or services. It records the sale, updates stock, produces a receipt, and keeps a history you can report on later.

For most shops it replaces the notebook, the calculator, and the guesswork about what is still on the shelf. A good POS ties the counter, the store room, and the owner's view of the business into one place.

  • Ring up items quickly at the till
  • Reduce manual errors in pricing and change
  • See what sold today, this week, or this month
  • Know stock levels before a customer asks

  • Built for KSH, VAT, and M-Pesa workflows
  • Branded invoices and quotations with your business logo
  • Email promotions and updates to customers from Marketing

  • Each branch keeps its own reports and users

Offline sales

Keep selling when the internet drops.

  • Queue sales on a local setup PC
  • Sync when the connection returns
  • Same product list offline and online
  • Built for unreliable shop connectivity in Africa

Retail, wholesale, last price, and expiry dates

How POS Plus handles mixed pricing and dated stock without confusing your cashiers.

Retail and wholesale in the same shop

Many Kenyan businesses sell to walk-in customers and bulk buyers from one counter. POS Plus handles both without maintaining two systems.

  • Turn on wholesale pricing in shop settings when you need it
  • Each product keeps a normal retail price and an optional wholesale price
  • Cashiers flip a Wholesale toggle on the cart for bulk buyers only
  • Retail customers stay on shelf prices; wholesale buyers get the agreed rate
  • The sale records whether it was retail or wholesale for reporting later

Last price

Last price is an optional middle tier on a product between your buying cost and the shelf price. It helps shops that negotiate or run structured discount levels.

  • Set last price per product alongside retail and wholesale prices
  • Useful when you sell at a regular “last” rate below shelf price but above cost
  • Wholesale price must stay at or above last price (rules enforced for you)
  • Cashiers see the correct price on screen instead of memorising exceptions
  • New staff scan or search; they do not need every special price in their head

Expiry dates

For pharmacies, supermarkets, and any shop with dated stock, expiry dates on products help you sell older batches first and avoid losses.

  • Add an expiry date when you create or import a product
  • Dashboard alerts show how many products are expiring soon
  • Open the expiring-products list to act before stock goes bad
  • Works alongside low-stock alerts so nothing important is missed
  • Import expiry dates from a spreadsheet when you load products

Shop dashboard

After sign-in, owners and managers land on a live summary of the day.

Why your business needs it

Spreadsheets and memory work for a while. A proper POS pays off as the shop grows.

Sound familiar? These are common pain points for shops in Kenya and across East Africa:
  • M-Pesa and cash mixed at the till, with no clear end-of-day total
  • Stock counted by hand while sales happen on a separate notebook
  • Invoices typed in Word with no link to what was actually sold
  • A second shop opened but records still split across WhatsApp and Excel
  • Staff sharing one login, so nobody knows who changed a price or reverted a sale
  • Staff guessing prices because new hires were never shown the full price list
  • Internet cuts off and the shop has to stop selling until it comes back

Most shop owners we talk to already track something: a notebook, a WhatsApp thread, or an Excel sheet. That breaks down when you hire more staff, add M-Pesa, or open a second branch.

POS+ gives everyone the same numbers at the same time. Less arguing at closing. Fewer surprises on Monday morning.

Growing shop with clear numbers

See profit, not just turnover

Revenue alone does not tell you if the shop is healthy. POS Plus tracks cost, margin, and expenses so you know what you actually earned today.

Look professional to B2B buyers

Wholesale and corporate customers expect proper invoices and quotations with your logo, payment terms, and VAT. You should not rebuild that in Word for every order.

Stop running out unexpectedly

Low-stock alerts and purchase records mean you reorder before the shelf is empty, not after a customer walks away empty-handed.

Track M-Pesa properly

Mobile money is mixed with cash at many Kenyan tills. Recording M-Pesa inside the sale keeps your end-of-day totals honest and your accountant happy.

Control staff access

Cashiers sell. Inventory staff adjust stock. Only managers revert sales or change settings. User management means less shrinkage and fewer disputes.

Manage several shops in one place

Open a second branch without starting from zero. Transfer stock between locations, switch shops from one login, and compare sales reports side by side.

Prices on screen for every cashier

New employees should not spend their first week learning hundreds of prices by heart. Scan or search and the correct retail, last, or wholesale price appears at the till.

Keep trading when the line drops

Power cuts and slow connections are normal in many parts of Kenya and East Africa. Offline mode lets you queue sales and sync when you are back online.

Reach customers properly

Promotions and stock updates should not depend on a staff member's personal phone. Marketing emails go to customers who have an email on file, with formatting and your shop name on every message.

Make decisions from facts

Which products move fast? Which sit too long? Sales reports replace gut feeling when you plan purchases, pricing, or your next branch.

Common questions

What is POS Plus?

POS Plus is the point of sale and shop management system behind this site. Staff sell from Make a Sale, owners follow the dashboard, and stock, invoices, customers, and reports stay in one place.

How much does it cost?

Standard pricing is KSH 6,000 per year or KSH 550 per month per shop. Contact us for a custom quote if you need multiple branches, extra users, or a tailored setup.

Do I need special hardware?

A browser on a PC, tablet, or phone is enough to start. Barcode scanners, receipt printers, and label scales are optional add-ons many shops connect later.

Does it work with M-Pesa?

Yes. Record M-Pesa payments manually or send an STK prompt at checkout or when collecting a balance on an existing sale.

Can I run more than one branch?

Yes. Each shop can have its own tenant, users, and stock. Transfer stock between branches and switch tenants from the navbar when your email is linked to more than one shop.

Can invoices and quotations show my logo?

Yes. Upload your business logo in settings. It appears on PDF invoices, quotations, and other printed documents your customers receive.

What if internet drops?

Shop PCs can queue sales offline with a local setup file. When the line is back, pending sales sync to the cloud.

Can I use POS Plus on iPhone or Android?

Yes. Sign in from Safari on iPhone and tap Add to Home Screen, or from Chrome on Android and choose Install app. POS Plus runs like a mobile app with the same sales, stock, and reports as on a PC.

Can I sell retail and wholesale from the same shop?

Yes. Enable wholesale pricing in settings, set retail and wholesale prices on products, and cashiers use a Wholesale toggle on the cart when serving bulk buyers. Walk-in retail customers stay on normal shelf prices.

What is last price used for?

Last price is an optional tier between your buying cost and the shelf price. It supports negotiated or structured pricing. Wholesale must stay at or above last price. Cashiers see the right value at the till instead of memorising exceptions.

Does POS Plus track product expiry dates?

Yes. Add expiry dates on products or import them from a spreadsheet. The dashboard shows alerts for items expiring soon so you can sell or rotate stock before it is too late.

Can I print receipts on a thermal printer?

Yes. Connect a thermal receipt printer and print checkout receipts from Make a Sale after payment.

Can I email invoices from the system?

Yes. Send invoices and quotations by email straight from POS Plus. The message goes out in your business name so customers know who it is from.

Can I send marketing emails to customers?

Yes. Open Marketing in the sidebar to compose a rich-text email and send it to all customers with email on file or to a selected list. Search finds anyone in your customer records; if someone has no email saved, the system tells you. Access is admin-only by default and can be assigned to other roles.

Can reports be filtered by date?

Yes. Pick a single day or set a from and to date range, then view on screen or download the report as a PDF.

Can I try POS Plus before signing up?

Yes. On the documentation page, open Try the live demo. You enter a sample shop with no password, follow a short product tour, and can ring up practice sales. Demo data stays in that sample shop and cannot reach another business.
